EVENT REGISTRATION & MEDIA RELEASE AGREEMENT

 AGREEMENT 

This Agreement ("Agreement") is made and entered into on this (the day of form submission) by and between: 

1. The Owner of the Event as indicated, and 

2. Mr. Tumelo Mangwegape (hereinafter referred to as the "Owner of South African Aerobics PTY LTD"). 

WHEREAS, the Owner of the Event, seeks to collaborate with South African Aerobics PTY LTD for the creation, publication, and promotion of his upcoming aerobics event hosted by his club/organization.

NOW, THEREFORE, the parties agree as follows:

SCOPE OF WORK

South African Aerobics PTY LTD agrees to:

a) Create Digital Content: Produce high-quality digital content related to the event in accordance to its historic standard, which may include but is not limited to videos, photographs, promotional posts, and event highlights in accordance to the following structure.

- 200+ action and banner background photo subject to banner availability.

- One 90 seconds video per session.

- Not more than 15-min video per session (subject to good network for livestreaming; content will be recorded and uploaded if there are connectivity issues).

- Not more than 4-min event highlights - (including host interview).

Online Marketing: Market the event in accordance to its historic standard, which may include but is not limited distributing available marketing materials received directly from the Owner of the event in accordance to the following structure:

- Dedicated advertisement page on www.saaerobics.co.za 12 weeks before the event.

b) META posts:

- One official Facebook post 

- One official WhatsApp broadcast post 

- Weekly Facebook post on Mondays ONLY, 12 weeks before the event.

- Weekly Facebook & Instagram 24Hr statuses on Mondays ONLY, 12 weeks before the event.

c) Publish on Social Media: Publish the digital content across South African Aerobics’ social media platforms, including but not limited to Facebook, Instagram, Twitter, and YouTube. Facebook shall be the main platform for event coverage. All hghlighs shall be published on Instagram, Twitter X, Youtube and TikTok.

d) Event Coverage: Attend the event and provide coverage, including behind-the-scenes footage, interviews, and promotional materials to engage the audience.

e) Content Publication Structure

- Digital content created, whether raw or edited shall be shared with the owner of the event upon request.

- Digital content created, shall be published on South African Aerobics Facebook Page (reels, live streams, photos, highlights, etc) ONLY.

- Event highlights shall be published on Facebook, Twitter X, YouTube, and TikTok (@saaerobics) ONLY.

- The digital content publication (whether viral or not) forms part of brand awareness and event/project exposure and therefore there are no cost implications between the owner of the event and the owner of South African Aerobics PTY LTD.

COMPENSATION

The parties agree on the following terms regarding compensation for services rendered:

a) Payment for Services: The Owner of the Event shall compensate South African Aerobics PTY LTD as per the quotation.

b) Payment Schedule: Payment will be made according to the following schedule:

- 50% non-refundable payment 30 days prior the event to secure the date.

- 50% upfront payment 30 days prior to the event shall confirm bookings

This short-term agreement involves digital content creation and publication on South African Aerobics social media platforms.

INTELLECTUAL PROPERTY

a) The intellectual property rights to the digital content created, including photographs, videos, and written content, shall remain the property of the host and South African Aerobics.

b) South African Aerobics PTY LTD is granted permission at no cost by the Owner of the event to publish and distribute to trainers; stuff member associated to the event.

CONFEDENTIALITY

Both parties agree to maintain confidentiality regarding any sensitive or proprietary information exchanged during the course of this Agreement, including but not limited to marketing strategies, event details, and financial information.

TERMINATION

This Agreement may be terminated by either party upon written notice in the event of a material breach or failure to perform the obligations outlined herein. Upon termination, any outstanding payments for services rendered shall be due immediately.

AGREEMENT

By sending this form, you grant South African Aerobics permission to full media coverage on behalf of everyone who will be present at the event such as trainers, participants security, external media, branding, etc.

By sending this form, you grant South African Aerobics permission to publish the digital content created by South African Aerobics on (@SAAerobics) social media platforms.

By sending this form, you agree that the digital content created by South African Aerobics is solely owned by you the owner of the event/project and the club mentioned above. The content shall be shared with you at the end of the event upon request.

South African Aerobics shall not charge you a fee for publishing the content on @saaerobics social media platform and therefore the YOU shall not request a fee from South African Aerobics PTY LTD for the published content (whether viral or not).
